Maximizing Your Donor Database

Your donor database is more than a list of names. When it’s accurate, segmented and fully activated, it becomes the engine that drives your fundraising forward. Many nonprofits underuse this powerful asset. Left unattended, it can hide opportunities, slow your progress and cost connections with loyal supporters.
Here are three ways to get the most from your donor database:
Keep Your Data Clean and Current
Wrong addresses, duplicate entries and missing details make it harder to reach donors and easier to miss key moments. A nonprofit we worked with assumed dozens of donors had lapsed, but the information was inaccurate. It took a couple of hours and a couple of cups of coffee to discover the mistake. Cleaning up records and removing hundreds of duplicates re-engaged supporters that would otherwise have been lost. Some renewed gifts—and we saved money on mailing costs.
Segment for Smarter Outreach
If you speak to everyone the same way, you connect with no one. Your database contains insights on giving patterns, interests and engagement history that can help you send the right message at the right time. For example, create a “first-year donor” segment and build a welcome series just for them. Watch your retention rate for first time donors—which is dismal nationally—increase. Segmentation sharpens your message and helps raise more money.
Unlock the Power of Your CRM
If you only track gifts, you’re driving a Ferrari in first gear. Many Constituent Relationship Management (CRM) systems include automation, reporting and predictive analytics that can transform donor stewardship. Use CRM’s LYBUNT (Last Year But Unfortunately Not This) report to identify donors who gave the previous year but not yet this year. A targeted appeal to these potential donors can inspire them to give again.
